Description:

About Us

We are a fast-paced rail staffing provider supporting major projects across London and the UK. From our central London office, we supply skilled temporary staff to a range of rail and infrastructure clients. As we continue to grow, we’re looking for a proactive and organised Office Administrator / Resourcing Coordinator to join our team.

The Role

This is a varied, people-focused role at the heart of our operations team. You’ll support both the resourcing and administrative functions, ensuring our workforce is fully staffed, compliant, and supported throughout their assignments.

Key Responsibilities

Resourcing & Workforce Coordination

  • Answer incoming calls from workers and clients, providing clear and helpful support

  • Source and book candidates for rail shifts and project requirements

  • Record staff availability and update internal spreadsheets accurately

  • Upload confirmed shifts onto our Berry App

  • Confirm weekly hours worked and log them into our internal systems

Administration & Reporting

  • Produce weekly financial reports and simple graphs for management

  • Maintain accurate records of hours, bookings, and staff information

  • Assist with contract administration, including responding to temporary worker queries (annual leave, shift details, etc.)

Operational Support

  • Distribute PPE to staff and maintain stock levels

  • Support the smooth running of day-to-day office operations

  • Liaise with the wider team to ensure compliance and workforce readiness

About You

We’re looking for someone who thrives in a busy environment and enjoys speaking with people. You don’t need rail experience — we’ll train you — but you do need to be organised, confident, and eager to learn.

You’ll be great in this role if you:

  • Have strong communication skills and a friendly phone manner

  • Are confident using spreadsheets and basic reporting tools

  • Can multitask and stay calm under pressure

  • Enjoy problem-solving and supporting both staff and clients

  • Are reliable, detail‑focused, and proactive

What We Offer

  • Full-time, office-based, central London office (Kings Cross, moving to Tottenham Court Road in June 2026)

  • Training in rail compliance, resourcing, and internal systems

  • Opportunities to grow within a rapidly expanding business

  • Supportive team environment

  • Competitive salary (£13/hr – Paid weekly)
